PLANNING AND ORGANISING YOUR FUNDRAISING ACTIVITY

INTIAL STAGES
•The initial planning of any event is key, why not ask friends, colleagues or family members to become involved, this often generates new and exciting fundraising ideas and can spread the workload.
• Plan your activity in advance with a schedule of deadlines to be met.
• Ensure you allow enough time to publicise and prepare your activity.
• Check your activity date does not clash with other local or national activities of a similar nature, or any major sporting events.

BUDGETING
• Decide on a realistic target of monies you hope to raise, this will often affect your budget allocation.
• As a rule most events are based on spending a quarter of the monies hoped to be raise on organising the event, so if you are looking to raise £400 your budget should be no more than £100 to organise.
• Try to reduce costs where possible, gaining sponsorship for your event is a good way to do this; local companies are often keen to help, for example providing gifts for raffles or offering certain services at a reduced rate. If you require any assistance at this stage do not hesitate to contact our fundraising team.

PROMOTING YOUR ACTIVITY
• Promotion of your activity is key to gain maximum expose and involvement.
• There are various ways to do this for example distributing posters, handing out flyers, through thetxspace website and even contacting your local newspapers and radio stations. Please also see our Press Section on the website for further information on how to promote your activity effectively, where you can find some example press releases.
• Remember to document your event, take lots of photographs and even video footage; we are always keen to receive these. You can also upload them to the www.thetxspace.com website yourself. Let us know at The Transplant Trust.

BE SAFE AND STAY LEGAL
• Seeking permission to hold an activity is key, if you are planning to hold a raffle, or serve alcoholic drinks for example you should check with your local authority regarding any special licenses you may require.
• Consider if you may require any insurances for your activity, if you are holding your activity at an external venue, check with the venue provider as they will often already have certain insurances.
• For any further assistance in this area please do not hesitate to contact our Fundraising team.

And lastly as always, enjoy your event, and remember we are always on hand to help you, should you need any advice or assistance T: 07786 36757
